Administrative Assistant

Position Description:

Duties include: • Serves as a front office receptionist as needed. • Collect and distribute / open the mail as instructed by CEO. • Process donations received by check and send responses as indicated by CEO. • Maintains and updates census and mentorship spreadsheets. • Issues invoices and bills to sponsoring organizations as needed. • Maintains ledger for each of the residents. • Files all administrative paperwork as needed and keeps files and folders organized. • Run errands as needed which include but are not limited to: Post office, accountant office, bank, etc. • Prepares and presents census information for review in a weekly basis and sends to Board Members once approved. • Reviews deposits for accuracy and process deposits at bank. • Assist with fundraising efforts and letters send by mail. • Prepares and maintains application files for all residents. • Assist with organization and planning for special events and fundraising • Other duties as assigned. • M aintain the mailing list Knowledge, Skills and Abilities: • Must have strong computer operation skills and able to operate Windows-based computer and be proficient in Microsoft Office programs: Word, Excel, PowerPoint • Effective and professional verbal, written and interpersonal communication skills • Must have strong administrative and organization skills, strong attention to detail and data entry skills. • Must have strong time management skills and demonstrate the ability to handle multiple assignments at any given time. • Must be able to deal with confidential information discreetly and professionally • Must have excellent customer service skills and phone etiquette • Must be a self-starter ability to work independently and be proactive in all their duties and assignments • Must have a positive disposition and strong interpersonal skills • Must demonstrate ethical conduct Requirements • • Must sign the Volunteer/Employee Agreement • High School diploma or equivalent required. • Must maintain a neat and professional appearance. • Business casual attire is required. • Must pass a background check. • Must not have anyone currently at the home that they are relate to or are friends with. Experience: • Minimum of 1 year of administrative experience is needed. • Minimum of 1 year in a customer service role is needed. • Compensation is commensurate with experience.
